Venue Evaluation Checklist
Finding the right exhibition venue is a challenge in and of itself. Whenever possible be sure to visit the venue in person before committing to a specific location. Each individual event may require a slightly different set-up depending on the size and structure of your gathering. Before you come to a decision be sure to ask yourself the following questions:
- Are there enough parking spaces and/or is there additional parking nearby?
- Is there adequate disabled parking clearly available?
- Is the building entrance easily accessible for disabled visitors?
- Are there enough elevators to accommodate a party of our size?
- Does the main conference room fit a party of our size?
- Are the main conference room acoustics satisfactory?
- Is the main conference room technologically up-to-date/compatible with our presentation software?
- If there is overflow, can satellite rooms be made available nearby?
- Are there an ample number of bathrooms within reasonable distance of the conference area?
- What type of seating is available, can chairs be comfortably added?
- Can lighting be dimmed and brightened as best suits individual presentations?
- Is the environment climate controlled?
- Is there another space where meals can be served or food can be made available?
- Does the building meet prerequisite safety codes for a party our size?
- Does both the interior and exterior of the building present suitable aesthetic appearance?
- Are overnight accommodations available on-site on nearby for out of town visitors?
- Does the facility allow pets?
